Options for Accessing Submission Forms? [RESOLVED]

Accessing submitted forms requires logging in to WP with admin privileges. What do people do when they don’t want to give admin privileges and access to WP like that? Currently I log in myself and save forms as a PDF which I then email to the people who need them. This arrangement is no longer practical, but I hesitate to give these people access to WP. I found one plugin, Entry Automation, that might work, but it is $180 per year which is unaffordable for the small vet practice I work for. What do other people do? Thank you.

This is a very common concern, and you’re absolutely right to be cautious about granting WordPress admin access just to view form entries. Here are two possible solutions you may want to consider:

GP Entry Blocks: This allows you to create a secure page on your website where specific form entries can be displayed. You can control who has access to that page using standard WordPress user roles or password protection, without giving users admin-level access to the WordPress dashboard.

GC Google Sheets add-on: This automatically sends form submissions to a Google Sheet. You can then share access to that sheet with the relevant people. This avoids WordPress access entirely and removes the need to manually export PDFs.

Thank you for replying Samuel. I will look into these options. In our case, a PDF is needed, so I am not sure they are a solution, but it’s a place to start.

@suchi perhaps you could set up an automatic form submission notification email, and have the existing PDF included as an email attachment?

Hi - Thank you. I am not sure I understand. Currently when I get a form submission email, I log in, select the new Entry, “Print” to PDF, and then email the PDF. How would what you are suggesting work?

Thanks for the extra info about your workflow. Give Gravity PDF a try (the free version will be perfect). Since you’re currently generating a PDF from Gravity Forms Print feature, when you set up a PDF configure the “Focus Gravity” template on your form (it looks most like the Print feature).
