Bulk data Gravity Forms

Dear Sir/Madam,

We are a training institute that offers courses twice a month (on Mondays and Wednesdays) throughout the entire year. We have a total of 32 courses, and therefore, 32 forms. This means that we need a schedule for each course. Customers can choose a start date and will then receive a schedule. The number of class days for the 32 courses we offer on our website varies per course, for example, 2, 3, 4, 5, 6, 7, 8, 9, and 10 class days. We plan our courses a year in advance.

I will explain how we currently do it. First, I have to manually set the dates.

Then, I need to go to the back end of the website. I click on Gravity Forms and go to Forms. Here, all the forms that are on our website are listed. I then click on one of the 32 courses, for example, Power BI. After that, I see the fields of the form. I click on the start date field and see the field settings on the right side. In this list, I then click on “Edit Choices.” Now, I see the labels where the start dates are displayed. I can either choose to add one label by clicking on the plus icon or click on “Bulk Add” at the bottom. I choose “Bulk Add” and see the start dates listed on the right side. Here, I can add the start dates that you see below (in some months, courses do not start on a Monday or Wednesday due to national holidays). After adding these dates, I click on “Insert Choices” and save the form.

Additionally, below that, we have created a multi-choice field for the schedules. To adjust this, I click on this field and see the field settings on the right side. In this list, I then click on “Edit Choices.” Now, I see the labels where the schedule is displayed. I can either choose to add one label by clicking on the plus icon or click on “Bulk Add” at the bottom. I choose “Bulk Add” and see the schedule listed on the right side. Here, I can add the schedule that you see below (I will not show the entire year’s schedule, I will display a course with 2 class days, but as I mentioned earlier, this varies per course from 2 to 10 class days). After adding these dates, I click on “Insert Choices” and save the form.

For each month, and for both Monday and Wednesday, we have created a separate field. I have to fill all these fields manually. All these steps are for just one course.

At the moment, we have to manually enter the dates for each course into Gravity Forms. This takes up a lot of our time, and we would like to speed up this process. I looked online and found that there is a feature called Bulk Update Gravity Forms Entries. However, I am not sure how to apply this to our forms. Is there a way to easily and quickly schedule the dates for 32 forms?

Hi Lewon,

This sounds like a good fit for GP Populate Anything and GC Google Sheets. With those two combined, you could put all of your scheduling into a spreadsheet in Google Sheets.

You could then populate each of the fields in your forms from the sheet. Any changes made to the sheet would then automatically update in the forms. This would give you one place to manage your scheduling options without having to edit each individual fields on the forms.
