Hi everyone!
I’ve built a new add-on called AskEntries for Gravity Forms.
AskEntries adds a private AI-powered assistant directly to the Gravity Forms Entries screen. Instead of opening submissions individually or trying to construct the perfect keyword search, you can ask a normal question such as:
- Which customers are requesting a refund?
- Who reported a problem with delivery?
- What concerns are applicants mentioning most often?
- Which leads are interested in an enterprise plan?
- What is this specific entry about?
AskEntries finds the most relevant submissions, extracts answers from their contents, and displays structured result cards with entry status, date, relevance, and a direct link to the complete entry.
How is this different from regular entry search?
Traditional search is useful when you already know the exact word or phrase used in a submission.
For example, searching for “refund” may not find entries containing:
- “I want my money back.”
- “Please reverse the payment.”
- “Can you return the charge to my card?”
- “I purchased this accidentally.”
AskEntries uses semantic meaning rather than relying only on matching keywords. You describe what you are looking for in ordinary language, and it can identify entries that express the same intent using different words.
It also extracts a relevant answer or passage from each result, so you can understand why an entry matched before opening it.
Why not send the entries to ChatGPT or another LLM?
General-purpose LLMs can be powerful, but using them with form submissions can introduce additional considerations:
- Entry contents may be transmitted to an external AI provider.
- An API key and paid API usage may be required.
- Usage costs can increase with the number and length of entries.
- LLMs can generate plausible information that was not present in the original submission.
- Integrating a remote AI service introduces another external dependency.
AskEntries takes a different approach. Its analysis runs locally inside the authenticated WordPress administrator’s browser using purpose-built semantic search and answer-extraction models.
The text of your Gravity Forms entries is not sent to an external LLM or AI API.
Answers are extracted from the actual entry contents rather than freely generated. This makes AskEntries especially useful when privacy, predictable costs, and answers grounded in the original submissions are important.
It is not intended to replace a general-purpose LLM for creative writing or complex reasoning. It is designed specifically for privately finding and understanding information already contained in Gravity Forms entries.
